Waves of Wellness Foundation Ltd ACN 614 442 018 (WOW) is committed to protecting your privacy and the confidentiality of any personal information which you provide to us.

This Privacy Policy sets out how WOW manages the collection, use, storage and disclosure of your personal information in connection with  our main website located at www.foundationwow.org and any additional linked fundraising, initiative or program sign-up websites (Websites), and our initiatives, programs, events, campaigns, fundraising and products. 

WOW complies with the Privacy Act 1988 (Cth), and the applicable Australian Privacy Principles under that Act when handling your personal information. We take the protection of your personal information seriously.

By accessing our WOW Websites and providing your personal information to us, you consent to us handling your personal information as set out in this Privacy Policy, as amended from time to time.

1. Types of personal information

This personal information we collect will depend on our interaction with you, but may include your: 

  • name, age and date of birth; 

  • contact details such as your address, postcode, mobile number, or e-mail address; 

  • images such as your nominated profile photograph;

  • transaction details including in relation to any donations you have made (or are made on your behalf);

  • sensitive information such as health information; and

  • any other information which may be required in order for WOW to provide you with our initiatives, programs, events, campaigns and products.

2. Collection of personal information:
We may collect personal information from you: 

  • through our WOW Websites and when you communicate with us to request information about, or participate or become involved in any WOW initiatives, programs, events and campaigns

  • when you enter a WOW promotion

  • when you sign up or create a WOW fundraising profile

  • when you make a donation to WOW

  • when you subscribe to our e-newsletter, or indicate you want to receive news, offers or other marketing material from WOW

  • when you make an inquiry or a complaint

  • have other dealings with WOW, for example via social media and advertising or in person, via email, mail or over the phone 

  • when you apply for a job or volunteer position at WOW 

The choice of how much information you provide to us is yours, however if you want to participate in WOW initiatives, programs, events or campaigns, we will require certain information from you in order to provide them.

Sometimes we collect personal information about you from other sources, including:

  • people making a purchase or donation on your behalf

  • third party suppliers and contractors who may assist us to operate and administer WOW, such as: information technology, campaign, fundraising, marketing, social media advertising, online campaigning and digital services suppliers, research and development organisations, data partners

  • publicly available sources of information. 

We may also combine or link your personal information with other information held about, or which we attribute to, you, including:

  • information (personal or otherwise) that we collect from our Websites (as described below in relation to "Cookies and Tracking") or from third parties

  • personal information we receive from client businesses and sponsorship partners, who, in common with us, have a relationship with you and where we understand that you have consented to such client businesses and sponsorship partners sharing your personal information with us. 

3. How does WOW use your personal information?
The personal information you provide to WOW may be used by WOW for the following purposes:

  • the general management and conduct of WOW, our initiatives, programs, events or campaigns

  • to provide you with products you have ordered such as merchandise

  • to contact you if there is an issue with the completion of fulfilment of participant sign up, processing your donation or in relation to a campaign

  • to provide you with information or other communications about WOW, our initiatives, programs, events, campaigns and/or related offers and opportunities

  • to market WOW and/or its initiatives, programs, events and campaigns

  • to involve you in promotions, future campaigns, fundraising and other initiatives undertaken by WOW and to manage your interaction with us as a fundraiser or donor

  • to analyse statistics in relation to the WOW community

  • to acknowledge or reward you for your participation in WOW 

  • to verify your identity

  • to process your inquiry or complaint

  • to consider your job or volunteer application or offer you employment or a volunteer position at WOW 

  • to comply with our legal obligations and make any relevant disclosures required by regulatory bodies and/or as required by law.

We may also use your personal information for related purposes that would be reasonably expected by you, or where we are permitted to do so by law. 

4. Communication preferences:
Where you have agreed to receive WOW emails, WOW may use your personal information to send you emails (including marketing emails) about our  initiatives, programs, events, campaigns and products.  You will be provided with an opportunity in each email communication to unsubscribe from receiving any future communications from WOW. 5. Disclosure of personal information:
WOW will not use or disclose your personal information for any other purpose other than the purpose for which it was collected (or a related purpose) unless you have consented to that purpose, or WOW is permitted to do so by law. 

We may disclose your personal information to our suppliers or other external third parties who assist us with analytics and data analysis, operational, administrative and other related functions or services (including technology, fundraising, payment, storage and business service providers),  and otherwise to enhance our initiatives, programs, events, campaigns and products. When we contract external service providers, we may provide them with your personal information, but only to the extent required for them to fulfil that contract, or where you would reasonably expect WOW to disclose it to a third party for a particular purpose.

Some of these external third party service providers to whom we disclose your personal information may be located outside Australia. The countries in which the recipients are likely to be located include the United States. 

We will not sell your personal information to a third party.

6. Storage & security of your personal information: 

WOW may hold your personal information in electronic or hard copy format or a combination of both. WOW employees are required, as a condition of their employment, to treat personal information held by WOW as confidential, and to maintain the confidentiality of that personal information.

WOW also takes reasonable steps to ensure the security of all personal information it collects, including that the personal information is protected from misuse and loss and from unauthorised access, modification or disclosure. For example, your personal information may be stored and maintained in a secure cloud-based environment, which can be accessed only by authorised personnel.

For the purpose of fundraising, WOW uses Raisely as its online fundraising platform for campaigns. Full disclosure of information on ‘Security at Raisely’ is available here. WOW also use Stripe as the payment platform. Online credit card payments are handled directly by Stripe, via the Raisely platform.

7. Access, correction and complaints in relation to personal information:
Access to personal information
You may request access to your personal information held by WOW (subject to certain legal exceptions). Please send an email to info@foundationwow.org and we will endeavour to respond as soon as possible and in any event within 30 days of receiving your request.  If a legal exception applies and access is denied  is denied, we will tell you why. 

Correction of personal information
If you believe any of your personal information held by WOW is not accurate, complete or up-to-date, WOW will take reasonable steps to correct the information (subject to certain legal exceptions). To request that your personal information be corrected or updated, please send an email to info@foundationwow.org. If we do not agree that personal information we hold about you is inaccurate, incomplete, out of date, misleading or not relevant you may ask that we attach a statement to this effect to our record.  

Complaints
If you have a concern or complaint about our handling of your personal information, please send an email to info@foundationwow.org.  If we are unable to satisfactorily resolve your concern or complaint, you can contact the Office of the Australian Information Commissioner (OAIC). To make a query concerning your privacy rights, or to lodge a complaint with the OAIC about how we have handled your personal information, you can contact the Commissioner's hotline on 1300 363 992. The OAIC has the power to investigate the matter and make a determination.

8. Links to other websites:
WOW is not responsible for the privacy practices or content of any other website or service that is linked to our Websites, or for the privacy practices of any third party social media or other service providers that you can access through our Websites. We encourage you to read the privacy policies of those websites or service providers.

9. Cookies:
What are cookies?
Cookies are small text files that are stored in your computer’s memory and hard drive when you visit certain web pages. They are used to enable websites to function or to provide information to the owners of a website.

Why do we use cookies?
Cookies help us to provide customised services and information. For example, we use cookies on all our Websites to collect anonymous traffic data and also to improve your experience with the Websites.

In broad terms, we use cookies on our Websites for the purposes of operating an efficient online service, analytical purposes such as tracking the patterns of behaviour of visitors to our Websites, usage preferences, session management and functional purposes (such as storing store information that is needed by our applications to process and operate).

Your cookie preferences:
To make full use of our Websites, your computer or mobile device will need to accept cookies, as our sites will not function properly without them. In addition, cookies are required in order to provide you with personalised features on our Websites.

Third party cookies:
When you visit our Websites, you may receive cookies that are set by third parties. For example, you may receive a cookie set by Google. These cookies are used for the purposes described above. We do not control the setting of these third party cookies, so please check the third party websites for more information about their use of cookies and how to manage them.

Amending cookie preferences:
If you wish to remove cookies set by our Websites from your browser in the future, you may delete them. The instructions for removing cookies from your computer or mobile device depend on the operating system and web browser you use. Please note, however, that withdrawing your agreement to the use of cookies on our sites will impair the functionality of the sites.

10. Changes to this Privacy Policy:
This privacy policy may change from time to time particularly as new rules, regulations and industry codes are introduced. Any changes to the Privacy Policy will be posted on our Websites. If we consider that the changes are material we will notify you by email.
